We are HIRING: Operations Office

Position Description for Operations Officer
Status: Full-time
Location: Lima, Peru
Supervisor: Executive Director
Effective Date: 1 May 2025
Summary: The operations officer is responsible for providing day-to-day organizational
operations support under the direction of the executive director. These responsibilities include
marketing & communications, systems management, Board and volunteer support. In addition,
this position closely coordinates and collaborates with the Peru-based deputy director and
program officer positions.
A. Operations

  1. Marketing & Communications (50%)
  • Email: review info@help-peru on a regular basis, respond to general requests and
    forward specific requests to appropriate staff, as needed.
  • Web page: manage and update web page at least bi-annually by securing, reviewing,
    and adding/deleting content.
  • Lead preparation of annual report in collaboration with staff.
  • Update corporate presentation as needed but at least annually.
  • Newsletter: prepare and distribute newsletter three (3) times a year.
  • Social media: regularly post content on LinkedIn, Facebook, Instagram, etc.
  • Draft content for press releases, as requested.
  • Prepare and/or coordinate preparation of marketing print materials (brochures,
    pamphlets, etc.).
  • Provide support for the annual GALA and other special events.
  1. Systems Management (35%)
  • Manage and update donor database and corresponding platforms (e.g. Givergy,
    Bloomerang, Fundraise Up, etc.).
  • Ensure donor tax receipts are sent in a timely manner.
  • Provide support to the program unit in the development of tools & methodologies for
    monitoring & evaluation, financial, and budgeting purposes.
  • Manage and keep updated all on-line filing/storage of documents (Dropbox, google
    docs) in coordination with staff.
  1. Volunteers (5%)
  • Provide oversight and guidance to all U.S.-based and virtual volunteers, as needed.
  • Special events – secure volunteers for special events.
  • Secure volunteers for operations support (social media, web page, presentations,
    marketing & communications, information technology).
    B. Board Support (5%)
  1. Board and Committee meetings
     Inform Board members and committee chairs of all meetings at least one week ahead of
    time, schedule meetings and distribute zoom invites, as required.
     Provide meeting packet (agenda, attachments) to board members at least 5 days before
    meetings.
     Distribute draft meeting minutes to board members within three days of meeting
    conclusion.
  2. Board communications
     Respond to board members’ requests for information within 48 hours and refer specific
    requests to the executive director (ED), as needed.
    C. Other (5%)

* Provide other support, as requested by the executive director.

Requirements:
 Bi-lingual English (C2) & Spanish
 Minimum university degree in related field; master’s degree preferred
 Minimum of 5 years’ direct work experience related to marketing &
communications and systems management with nonprofit organizations,
multilateral organizations, or CRS programs
 Detailed oriented
 Ability to work independently and as part of a team
 Strong oral and written communication skills
 Experience using various marketing & communications and fundraising
platforms and tools
This position is home-based with virtual and in-person team meetings (may be transitioned to
office-based).
Monthly gross salary range: S/6,000 to S/6,500 PEN depending on education and
experience plus required employer contributions (CTS, gratificaciones).
